Job Summary:
This is a customer facing position in the AACSB-accredited School of Business & Management, Center for Student Success. The Center is structured to provide a customer service-oriented and holistic level support throughout a student's life cycle at the School. The vision for the Center is to provide a vibrant hub for student interaction and support that students will remember throughout their careers and lifetime. The office assistant will greet visitors and students and respond to standard inquiries regarding program activities and procedures, referring technical questions to appropriate staff. This includes phone calls, voicemail and email messages. Additionally, the position requires providing office support such as scanning documents, keeping appropriate electronic records for files, and submitting work requests/tickets to other campus offices, as well as scheduling meetings and appointments and maintaining computer lab schedule and conference room scheduling as needed. The office assistant will support professional staff and have a key role in all of the clerical functions necessary to provide high quality academic advising and efficient registration for each student.

  • Greet visitors and students, respond to standard inquiries regarding program activities and procedures and refer technical questions to appropriate staff. This includes phone calls, voicemail and email messages. Answer questions and communicate School and University policies to students and external constituencies.

  • Process course request forms after being reviewed by professional staff and send appropriate communication to students. Maintain spreadsheet of conditional course requests and send required e-mail communication to students prior to enrolling them in courses.

  • Proactively monitor and follow-up with students and ensure conditions were met and communicate in writing to them regarding outcomes. Distribute Request for Transfer Credit' forms to the appropriate faculty member and follow-up to ensure review and completion on a timely basis. Contact student by e-mail regarding outcome and register for courses as needed.

  • Provide other office support such as scanning documents, keeping appropriate electronic records for files, and submitting work requests/tickets to other campus offices.

  • Support Center Director with accounting recruiting initiatives and other stakeholder engagement events including coordinating logistics for events, arranging site visits, handling parking, catering, etc.


Non-Essential Functions:
  • Schedule meetings and appointments as needed in Outlook and maintain computer lab schedule and conference room scheduling as needed. Use software packages, such as Microsoft Office Suite, to produce requested documents.
  • Proactively reach out to Admissions visitors who are attending campus tours to set up one-on-one time with School of Business personnel and coordinate the visit.
  • Other duties as assigned to support the mission of the School and Center for Student Success.

Minimum Qualifications:
Candidates must have permanent appointment in an Office Assistant 1 (Keyboarding) NY State classified position or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 1 (Keyboarding) Full-Time, Brockport location.

OR

Provisional Appointment: In the absence of an eligible list with three or more candidates willing to accept a position, a temporary provisional appointment may be considered.

Provisional candidates must take the examination for Office Assistant 1 (Keyboarding) when it is next offered and must be reachable on the resulting eligible list to maintain employment.

Preferred Qualifications:
  • Experience in a customer facing position serving stakeholders in a professional and efficient manner



Work Schedule: 37.5 Hours/Week; Monday - Friday; 8:00am - 4:00pm
Salary and Benefits: $34,152
