PROJECT & LOCATION: Brockport Migrant Education Program -SUNY Brockport

SALARY RANGE: $35,100-$38,025

DATE TO BE FILLED: ASAP

FUNCTION AND SCOPE: The New York State Migrant Education Program is a Title I, Part C federally mandated program that provides supplemental educational services to the children of migratory agricultural workers. The NYS-MEP utilizes a multifaceted and interdependent approach of subject content and instruction, advocacy to self-advocacy, and positive identity development that is grounded in the trusting migrant educator­ student-parent relationship. The administrative assistant provides administrative support to ensure efficient operation of the office and program, should be professional, polite, and attentive while also being accurate.

They should always be prepared and responsive, willing to meet each challenge directly, with a genuine desire assist and serve others.

DESCRIPTION OF DUTIES INCLUDING LEVEL OF SUPERVISION REQUIRED:

Provides administrative office management support to ensure efficient operation of the office.
Carries out administrative duties such as office reception, answering phones, e-mailing, filing, word processing, mailing, general correspondence, copying, binding, scanning, maintaining record files, and information systems, etc.
Supports team by performing tasks related to organization, effective communication, scheduling, and providing administrative support during meetings.
Creates brochures, calendars, flyers, certificates, and forms using various software.
Attends local and state training sessions.
Makes travel arrangements for staff, such as booking flights, cars, and hotel reservations.
Ensures equipment operation by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for program and office supplies.
Perform other duties as assigned by the Program Director

REQUIRED QUALIFICATIONS:

Associates degree or vocational certification in an area of business, administrative support, human services, or related field
Demonstrated minimum of two years of administrative office support experience (secretarial/clerical) in an educational setting
Bilingual English/ Spanish with strong oral and written communication skills.
Demonstrated excellent interpersonal skills with the ability to convey information via email, telephone, and in person.
Demonstrated ability to manage multiple priorities with minimal supervision
Demonstrated strong computer skills and proficiency with computer-based applications including MS Office 365 (Excel, Publisher, Outlook and PowerPoint), and Adobe Acrobat
Ability to demonstrate commitment to diversity and inclusion of people of all identities and backgrounds

PREFERRED QUALIFICATIONS:

Bachelor's degree in an area of business, administrative support, human services, or equally related education
Demonstrated ability to work independently and collaboratively as part of a team
Demonstrated competence in the organization and maintenance of office routines with strong attention to detail
Ability to provide virtual support (Zoom, Teams)

SPECIAL NOTES:

Performance samples will be requested from applicants selected for an interview; these will include:
- Producing a letter with Microsoft Word
- Developing a flyer in Microsoft Publisher
- Creating a spreadsheet
(1)l Work sites in Monroe, Niagara, Ontario, Orleans, Seneca, and Yates Counties.
(2) This position is subject to annual review based on performance and the availability of funds.
(3) Dependent on education and experience
