SUMMARY
SUNY Brockport EOC is accepting applications for an Office Assistant 1 (Keyboarding). The Office Assistant 1 (Keyboarding) for the Rochester Educational Opportunity Center is located in the Welcome Center. This position provides professional assistance and referrals to a large volume of daily visitors, staff and students.
JOB FUNCTIONS
- Operates main switchboard
- Receives calls promptly, accurately, and professionally
- Answers inquiries and directs and/or records messages to appropriate personnel or departments
- Maintains a sign-in visitor log
- Controls escort required name badges to all visitors/guests.
- Logs and coordinates incoming and outgoing courier mail/packages.
- Prepares and/or processes all REOC outgoing and incoming mail
- Prepares certified/rush/overnight/return receipt mail
- Receives and distributes all mail in a timely manner
- Types correspondence, documents, records and other written material
- Maintains and operates copier and postage machine equipment
- Monitors the operation of all copier and mail owned equipment at REOC
- Coordinates scheduling of all copier/postage machine repairs with outside contractor
- Ensures that equipment is well stocked with supplies, i.e. - toner, tape, ink
REQUIREMENTS
Minimum Qualifications:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title maybe filled via a noncompetitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):
There are no minimum education or experience requirements for this title.
COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):
Candidates must have permanent appointment in an Office Assistant 1 NY State classified position or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 1 Full-Time, Brockport location.
Preferred Qualifications:
- Excellent communication skills
- Self-motivated with the ability to multi-task
- Detail oriented
- Professional with the ability to demonstrate outstanding telephone etiquette
- Basic knowledge of MS Office
- Bilingual and able to read, write, and speak Spanish proficiently.
ADDITIONAL INFORMATION
Work Schedule:
37.5 hours/week: Monday - Friday 8:00am - 4:00pm
