POSITION TYPE/EXPECTED HOURS OF WORK:
This is a full-time, CWA position, and hours of work and days are Monday through Friday, 8:30 a.m. to 4:30 pm. Occasional evening and weekend work may be required as job duties demand. Note: Those non-faculty employees in the "NE" category of employment may have irregular or variable work hours. The compensatory time policy for NL employees applies to "NE" employees up to 40 hours per week. Beyond 40 hours, the overtime policy for fixed workweek employees applies (i.e., rate of time and one-half in payment or compensatory time).
Salary Range:
CWA - P21 - Steps 1-3
$64,340.11 - $70,284.43
Union Negotiated Contracts will determine internal applicants' salary
JOB SUMMARY:
Under the administrative direction of the People Operations & Employee Resources Payroll Supervisor and coordinating with the Director of Financial Aid, this position assumes primary responsibility for Student Payroll, which includes Student Aides, Federal Work-Study, and Federal Work-Study/Community Service. This position also provides office support to members of the People Operations and Employee Resources staff when needed
Examples of Duties
DUTIES:
- The position will be responsible for processing the Student Payroll, including all related processes related to the preparation, verification, and adjustments of the Student Payroll, while adhering to payroll deadlines and coordinating fiscal/employment documentation aspects of the Student Assistant Program.
- Using Ellucian Banner, monitors, updates, and maintains student aid budgets for over ninety units; Federal Work-Study awards for approximately 200 work-study students; and hiring and statistical information for over 800 student workers on and off campus.
- Maintains Access database of the placement of all student workers. Configures and downloads reports for bi-weekly or monthly student aid budgets and federal work-study reports using Argos reports and Excel.
- Troubleshoots with Payroll, Human Resources, and ITS all problems regarding employment documentation, payroll issues, and web-based time reporting system.
- Monitors and tracks the earnings of all Federal Work-Study/Community Service students. Coordinates all aspects of time reporting and payment for students.
- Facilitates Federal Work-Study/Community Service agency billings with the Business Office.
- Prepares payment processing for student employees using Banner and Web Time entry, including late time sheets, which are submitted via Word documents. Researches and addresses Web Time entry issues. Coordinates employee Web Time procedures and time reporting, and has a working knowledge of the Student Attendance Reporting policy.
- Completes employment verification requested within 72 hours from receipt.
- Utilizing information from the Banner HRIS system, Personnel files, and other resources, responds to Payroll inquiries from Faculty, Staff, and Students.
- Maintains data integrity and ensures the confidentiality of Payroll records and employee information. Assist with record retention and purging.
Organizational Security Responsibilities: This position requires adherence to the organization's
information security policies and procedures. All employees share responsibility for protecting the
confidentiality, integrity, and availability of the organization's mission essential IT assets, regardless of
role. Individuals in this role are expected to apply appropriate safeguards, participate in required security
awareness training, and promptly report potential security incidents in accordance with institutional
policies.
- Serve as a backup for the Payroll Supervisor for the coordination and processing of both Regular and Student payrolls.
- Other related duties as assigned.
Qualifications
Education:
Graduation from an accredited college with a Bachelor's degree.
Applicants who do not possess the required education may substitute required experience on a year-for-year basis (30 credit hours is considered one year of college).
Experience:
Three years of professional experience in HR Payroll, student services, and/or experiential learning as it relates to administrative support for payroll and/or hr processes.
ADDITIONAL KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of employment procedures, computer systems (SCT Banner, Microsoft Office). Excellent analytical and problem-solving skills. The ability to work in a team environment and with all levels of the organization in a collaborative way is required.
Must possess outstanding interpersonal skills, a strong student and customer focus, and excellent skills in administration, organization, counseling, writing, and presentation.
Ability to multitask projects and prioritize workload. Ability to work in a very busy setting with little supervision is required. Must be able to juggle, organize, and prioritize multiple tasks with many interruptions.
Knowledge of relevant rules and regulations concerning hourly salary rates and authorized deductions.
Ability to comprehend, interpret, and apply rules and regulations in accordance with established procedures and policies of the unit.
Ability to make mathematical calculations quickly and accurately.
Ability to maintain confidential records and files.
Experience with Banner, preferred.
