SUMMARY
The Rochester Educational Opportunity Center (REOC), part of SUNY Brockport, State University of New York, and located in downtown Rochester, is accepting applications for a Special Projects Coordinator. The Special Projects Coordinator will deliver exceptional customer service to a diverse range of stakeholders, including REOC faculty and staff, students, SUNY Brockport Downtown, and the broader community. This position is responsible for coordinating the scheduling of internal and community events held at REOC in the Multipurpose Room /Class rooms etc., ensuring smooth logistics and effective communication.
In support of student success, the coordinator will manage the procurement and prompt distribution of essential resources such as textbooks, student uniforms, and classroom materials. Additionally, this role will lead the development and execution of special projects from inception to completion, e.g. explore Inventory System for Bookstore, with a strong emphasis on promoting innovation and supporting the strategic growth of REOC.
JOB FUNCTIONS
Essential Functions:
- Purchases and distributes textbooks, uniforms, and materials for REOC students and instructors. Maintains the REOC Bookstore, ensuring it is well organized and operational hours align with program start dates. Works with vendors, publishers, procurement services, Instructors etc. to resolve and address supply and delivery issues etc.
- Utilizes Machforms and the REOC Outlook Events Calendar to manage and schedule planned events, oversees all operational and administrative functions for events, coordinates with maintenance, IT, and procurement teams, and conduct post-event surveys to ensure successful event execution and continuous improvement.
- Establishes inventory processes for the bookstore and maintain fiscal management.
- Reviews and updates program cost sheets, ensuring accurate and current pricing. Identify and evaluate opportunities for cost savings e.g., E-Books versus hard copy and vendor price comparisons to optimize procurement strategies etc.
- Plans, executes and delivers timely projects across Academic Programs, Workforce Development and Operations initiatives, ensuring alignment with REOC's goals.
- Sales of REOC Merchandise.
- Serves on two REOC committees. Participate in professional development.
REQUIREMENTS
Required Qualifications:
- Associate's degree from a college or university accredited by the U.S. Department of Education or an internationally recognized college or university
- Proficiency with Microsoft Office products (e.g., Word, Excel, PowerPoint)
- Demonstrated ability to work independently as well as collaboratively within a team environment
- Excellent communication skills, both verbal and written
- Strong attention to detail and organizational skills
- Experience working in a multicultural or diverse environment
- Commitment to fostering teamwork and optimizing the use of resources to enhance outcomes
- Bachelor's degree
- Experience working in Higher Education
- Experience in event planning and project management
ADDITIONAL INFORMATION
Work Schedule:
37.5 hours/week: Monday-Friday, 8 am-4 pm some nights and weekends
