Job Summary:
This role provides support for students seeking care in Hazen Center for Integrated Care Counseling and Health clinics. They will have a basic understanding of the functioning of a busy medical office and be able to handle conflicting priorities.

Duties would include:
  • Customer Service: Provide excellent customer service in a polite, professional manner to students, parents, campus community members and constituents. This includes in-person interaction, via phone, as well as electronic communications like email and secure messaging.
  • Phone Duties: The OA1 will answer Health and Counseling Center phones in a professional manner and route calls to appropriate office or staff member by identifying nature and urgency of caller's request/reason for call. The OA1 can address calls as appropriate with their role and knowledge base.
  • Appointment Scheduling
  • Maintain medical records including EMR (Electronic medical records) including filing/scanning, data entry, and record management per supervisor instruction.
  • Faxing, copying, scanning, emailing per supervisor guidance.
  • Maintain operations by following policies and procedures.
  • Process incoming and outgoing mail/reports and delivers mail to designated personnel.
  • Route patient correspondence and information as required.
  • Assist with work orders for departments such as IT, telecommunications and facilities
  • Immunizations: (In cooperation with Immunization Coordinator and Office Assistant 2 )
    • Answer questions regarding standardized NYS immunization requirements for attendance.
    • Verification of immunization data submitted by students and notification of missing. requirements to student using standardized responses.
    • Accurate data entry of immunization history into the electronic medical record as needed.
  • Manage reception area to maintain a professional, comfortable environment
  • Participate in staff meetings with input, suggestions for improvement, and problem solving.
  • Participate in quality improvement initiatives.
  • Participate in professional development as appropriate.
  • Share in holiday/weekend coverage as well as summer orientation and campus outreach events with other staff as needed



Minimum Qualifications:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title maybe filled via a noncompetitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At this time, agencies may recruit and hire employees by making temporary appointments. Once the NY HELPS program is officially launched, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):
There are no minimum education or experience requirements for this title. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.


Preferred Qualifications:
  • Previous experience in health care setting.

Work Schedule: 37.5 hours/week; 9:00am to 5:00pm, Monday-Friday
Salary and Benefits: $35,177
