Health Insurance Coordinator

$21.06 per hr - $24.21 per hr; commensurate with experience

POSITION PURPOSE: The Student Health Insurance Coordinator is a member of the Student Health Services (SHS) and Counseling and Psychological Services (CAPS) team of professional staff. Together this team practices in the unique environment of college health and directly contributes to student success by delivering integrated mental healthcare to SCU students utilizing the services of the Cowell Center. The Student Health Insurance Coordinator provides the highest quality of administrative health insurance work to students, staff and faculty while supporting the vision of the University to make student learning a central goal of the Center. The Student Health Insurance Coordinator serves as a focal point for parents regarding the Student Health Insurance Plan. The Student Health Insurance Coordinator works closely with Gallagher Student Health and Special Risk, Santa Clara's Student Insurance Broker.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Critical Office Duties:
  • Manage the quarterly health insurance waiver and enrollment process with Gallagher Student Health, IT and Bursar Office.
  • Ensure timely and accurate billing of insurance premium to student accounts.
  • Provide timely and accurate health insurance waiver and enrollment communication to students on a continuous basis during the waiver process.
  • Provide timely and accurate health insurance waiver and enrollment information to various schools on campus ensuring calendars and bulletins are updated as requested.
  • Reconcile the quarterly invoices from Gallagher Student Insurance ensuring accurate student accounts billed against Gallagher enrollment.
  • Acts as a liaison to students and parents on the health insurance plan questions, charges and claims.
  • Create and update the annual SCU waiver and enrollment calendar working with IT and Bursar Office.
  • Work with Gallagher and IT on updating the annual SHIP Communication and Implementation Schedule.
  • Manage Cowell Center's Office Visit Fee Waiver Program by working with Financial Aid and the Bursar Office to ensure appropriate fee reversal
  • Work closely with Cowell Center Director on any special situations with SHIP.
  • Review Denied waivers for corrections or enrollment into the SHIP plan and post charge to student account, as appropriate.
  • Provides assistance to Santa Clara University staff and faculty with SHIP questions.


Primary Office Duties:
  • Participate in Law Fair and Orientation, as requested.
  • Participate in New Student Orientation session with students.
  • Participate in New Student Orientation session with parents.
  • Assist student with specific insurance claim questions and/or billing.
  • Respond to requests and information regarding SHIP.
  • As requested, work with Cowell Center SHS and/or CAPS
  • Work with Gallagher Student Insurance in setting up meetings with Student

Insurance Committee throughout the academic year.
  • Update the SHIP section of the annual Terms and Conditions for IT
  • Ensure IT sends appropriate files to Gallagher on a timely basis, i.e., pre-pop, insurance

enrollment and waiver.
  • Ensure Student Insurance website is accurate and updated.


3. Financial Responsibilities
  • Research and correct inaccurate insurance charge postings, i.e., student no show.
  • Work with the Bursar office to maintain health insurance excel spreadsheet for special health insurance charges or reversals, i.e., student loses coverage requests school's plan and needs to be charged, student completed waiver but system did not reverse automatically.
  • Follow up and work with Gallagher Finance on questions, issues and corrections with quarterly invoices.
  • Reconcile accuracy of Petition to Add insurance enrollments and charges throughout the year.


4. Departmental Development
  • Actively and collaboratively support the mission, goals, and initiatives of the Cowell Center.
  • Observe all Cowell Center policies and procedures.
  • Keep abreast of changes in the Cowell Center and how they may affect the departments within the Cowell Center.
  • Conduct all work activities with respect for rights and wishes of clients, families, and co-workers.
  • Attend scheduled staff meetings.
  • Serve on departmental committees as appropriate.
  • Maintain cooperative interactions with other support and clinical staff.
  • Display a positive attitude within the Cowell Center and across departmental lines to contribute to staff morale and overall customer satisfaction.
  • Participate in departmental performance improvement activities.
  • Develop and foster relationship and trust with employees and the SCU Community.
  • Work individually and as a team in a collegial, respectful, and professional manner.
  • Demonstrate collaborative practice with team members utilizing conflict resolution and chain of command as necessary.


OTHER DUTIES AND RESPONSIBILTIES:

Collaborate and appropriately consult with Director and Managers of the Cowell Center. Provide advice, consultation, and support in the development, implementation and evaluation of department wide policy. Engage in university outreach as deemed appropriate. Remain knowledgeable of best practices in the office management of University Counseling Centers and Student Health Services. Perform other work-related assignments as assigned and/or required.

Demonstrated presentation skills and ability to communicate effectively in both written and verbal form with a variety of people including students, faculty, staff, alumni, and parents. Demonstrated skills in office management and establishing a friendly office environment.

ABILITIES:

Ability to interact effectively with diverse constituencies and maintain confidentiality when required. Ability to work well both individually and as a part of a team in a collegial, respectful, and

professional manner.

EDUCATION AND/OR EXPERIENCE:
Bachelor's degree, preferred. Prior college or university student health insurance management experience, preferred. Prior experience addressing the needs of a diverse student population, preferred.

Minimum experience of 2 - 4 years, preferred.
