Job Description

Provide operational oversight and leadership in the operations of the Graduate Studies Office.


Ensure that best practices are followed in confidentiality, record maintenance, FERPA, Minnesota statutes by student, and professional employees.
Provide fiscal oversight of the graduate education budgets; monitor purchasing, development of consultant contracts and provide budgetary advising related to student employees and grant awards.
Assist the Associate Vice President of Academic Affairs/Dean of Graduate Studies (AVP-AA/DGS), College Deans and Graduate Council in recommending and maintaining graduate policies, program planning, cost analysis and any required research.
Provide data and statistical analysis to the AVP-AA/DGS for existing programs, improvement for programs and new program development.
Supervise one full-time Office & Administrative Specialist Intermediate; one Student Support Specialist and graduate assistants.
Represent graduate education at appropriate campus, system, and national meetings.
Provide support to the AVP-AA/DGS off-campus graduate education offerings, including training, trouble-shooting and strategic planning.
Oversee and approve graduate degree completion steps for accuracy, completeness and appropriate approvals prior to submitting to the Registrar for final degree posting.
Assist the AVP-AA/DGS and Graduate Council with the yearly appointment of graduate faculty; maintain an accurate list of current graduate faculty; and recommend appointment of temporary graduate faculty.
Prepare an annual report on graduate admissions, enrollment, faculty and student highlights and growth projections.

Provide leadership for graduate applications and admissions.

Serve as lead administrator for application system.
Supervise the processing of incoming applications.
Supervise and direct the follow-up on incomplete applications.
Process final admissions into multiple application systems.
Troubleshoot and correct complex errors on multiple application systems.

Provide vision and oversight for marketing and promoting graduate programs.

Serve as primary resource for the Graduate Marketing Team.
Provide oversight on marketing materials (posters, fliers, banners, websites, social media sites, and promotional items).
Ensure the integrity of the Graduate Studies website and graduate program sites.
Maintain a social media marketing presence for Graduate Studies: Facebook, Instagram and Twitter.
Work with graduate programs to develop and implement on-going recruitment and retention plans for each program.
Assess the ROI for state and national Graduate Recruitment Fairs each year and determine participation level.
Develop and maintain a procedure to follow-up on graduate student inquiries utilizing CRM.
Research and assess ROI for marketing in national publications and programs.
Develop processes for recruiting and marketing to diverse populations and adult learners.
Attend Graduate Fairs and events for recruitment and marketing.

Provide oversight and leadership for the MSUM Institutional Review Board.

Convene and chair required IRB meetings
Set up and train faculty reviewers in the use of the IRB online system.
Review and maintain the policies and procedures for the university's Institutional Review Board making recommendations to the university policy committee.
Act as lead administrator for the online IRB submission system.

Oversee the Graduate Assistant Assignments/Allocations across the MSUM campus.

Coordinate distribution of fiscal year GA allocations to graduate programs and the Graduate Studies Office.
Provide guidance on policies and procedures to colleges and departments with graduate assistants
Serve as initial contact for graduate assistant complaints or concerns​

Required Qualifications
​​​ Master's degree with three (3) years of advanced professional experience within higher education or Bachelor's degree with four (4) years of advanced professional experience within higher education.
Knowledge of adult learners.
Experience with marketing and recruitment (3 years).

Preferred Qualifications
​​ Master's degree and five (5) years higher education administration experience.
Experience with college level admissions.
Experience teaching at the university level (specifically graduate courses).

NINE-MONTH FACULTY APPOINTMENTS

Along with all other Universities that are part of the Minnesota State Colleges and Universities System, standard faculty appointments are for 168 duty days distributed over any nine consecutive months. The nine months need not align with the traditional academic year and may be changed every two years. Initial faculty appointments at MSU Moorhead are expected to be similar to or the same as the academic year unless otherwise indicated on the vacancy notice.
