Job Description Summary:
Webster University's Office of Academic Affairs seeks a talented coordinator to support the Vice President for Academic Affairs. The Office of Academic Affairs works closely with the faculty, staff, students, and administrators at the home campus in St. Louis, MO and throughout the worldwide network. The Vice President for Academic Affairs supports the strategic goals of the University and manages University-wide initiatives including oversight of academic support areas, Student Affairs, and international campuses. Successful candidates will be highly detailed with demonstrated ability to coordinate, plan, and implement projects. Candidates should have strong communication and software skills. A Bachelor's degree with 2-3 years of related experience is required.

Minimum of 2-3 years of experience in project management and evaluations/assessment, preferably in higher education or non-profit organizations.

Preferred Qualifications
Masters degree
Prior higher education experience that includes working with academic policies.
A minimum of 2-3 years of experience, in project management and evaluation/assessment, preferably in higher education or non-profit organizations.
Prior experience providing support to senior level management.

Essential Duties
  • Coordinates the daily operations for the Vice President for Academic Affairs and provides administrative support. Duties include:
    • Serves as the primary point of contact and liaison between the Vice President and other University offices and external constituencies. Interacts with a wide range of people, including University leaders, faculty, staff, students, alumni, and other external constituents.
    • Drafts and edits written correspondence, communications, reports, presentations, and other materials. Ensures appropriate dissemination.
    • Maintains calendar, arranges travel (domestic and international), and coordinates complex itineraries.
    • Supports and participates in committees and task forces of the Vice President. Assists in establishing meeting agendas, taking minutes, related communication, follow-up, and logistics.
    • Exercises discretion while being trusted with sensitive or confidential information.
    • Serves as a resource to programs and units reporting to the Vice President, providing administrative coordination and support as assigned.


  • Serves as a member of the administrative team within the Office of the Provost, collaborating with staff across the Provosts Office and the University to accomplish special projects and achieve strategic goals.
  • Manages logistics and communication related to personnel searches (typically executive level positions) under the purview of the Vice President.
  • Provides support to University standing committees, task forces, or working groups as assigned. This includes the Institutional Review Board and the Academic Program Review Committee.
  • Manages the Audit for Enrichment program including coordinating eligible courses, advertising to the public, and working one-on-one with participations from the point of first contact through registration.
  • Manages faculty award processes including communication, applications, and committee coordination.
  • Supports the Vice President on institutional accreditation tasks including assisting in submission of accreditation documents, processing invoices, and scheduling accreditation-related meetings as needed.
  • Assists with investigation and response on compliance, policy, and legal matters. Conducts a wide range of internal and external research projects in support of initiatives within the Office of Academic Affairs.
  • Researches issues and problems of constituents (students, faculty, external stakeholders); independently resolves as appropriate; reports to the Vice President as needed. Maintains organized and accurate records for the Vice President and the Office of Academic Affairs.
  • May supervise student workers.
  • Other duties as assigned.
