SUMMARY
SUNY Brockport is accepting applications for a Recruitment and Retention Specialist. The Recruitment and Retention Specialist is responsible for administering all day-to-day aspects of professional, faculty, and classified staffing recruitment. In this role, you will work closely with hiring managers to identify recruiting needs, review and revise job descriptions, evaluate applicants, monitor and track positions, and work in various online systems. Additionally, you will work intricately with the Applicant Tracking System (ATS)/onboarding system to update and maintain recruitment and onboarding processes and procedures. This position works with a considerable amount of independent discretion and is responsible for interpreting, implementing, and applying a wide variety of policies and procedures that affect multiple employment types governed by various federal, state, SUNY, collective bargaining agreements, and University regulations.
JOB FUNCTIONS
Essential Functions:
Recruitment and Staffing
- Administers and maintains the recruitment and hiring processes for professional, faculty, and classified staffing which includes:
- Guides and assists hiring managers with creating job descriptions and position requisitions through the ATS.
- Reviews and revises submitted job descriptions.
- Reviews classified and unclassified service titles to determine the appropriate position classification.
- Reviews salary schedules to determine the appropriate compensation for classified staffing positions.
- May collaborate with the Compensation and HRIS Analyst to review compensation for professional and faculty positions.
- Sources and prescreens applicants. Collaborates with the Recruitment Coordinator to advertise positions on various sites.
- Conducts search and systems training to search committees. Guides and assists search committees through the search process.
- Interprets and implements federal, state, Department of Civil Service, SUNY, the University, and other regulatory agencies policies and procedures to ensure compliance throughout the search and hiring process that affects multiple employment types.
- Maintains accurate search records throughout the search and hiring process.
- Provides a high level of customer service consulting with and guiding hiring managers in comprehensive recruitment and staffing issues, policies, and processes.
- Processes personnel and classification transactions in the New York State Electronic Personnel system (NYSTEP).
- Runs biweekly Civil Service clearance reports.
- Responds to OSC check hold notices.
- Remains current on HR and recruiting trends. Recommends solutions to improve efficiency and effectiveness in the recruiting life cycle.
- Develops, delivers, and maintains professional, faculty, and classified staff search procedures.
- Ensures appropriate representation on, and provides ongoing assistance to, search committees.
- May serve on search committees.
- Responds to inquiries, follows up, and answers questions regarding all recruitment, search procedures, and systems questions from all applicants and campus users.
- Works closely with the Recruitment and Retention Coordinator regarding classified hiring process.
- Travels to attend career fairs and professional conferences.
- Serves as a subject matter expert for the University's ATS/onboarding system.
- Maintains and continually reviews processes and configurations to ensure optimal use of the ATS/onboarding system.
- Identifies and resolves user queries and requests relating to the ATS/onboarding system.
- Escalates user queries and requests that cannot be resolved to the ATS support staff.
- Creates and maintains various user guides for the ATS/onboarding.
- Provides training to the campus community regarding ATS/onboarding operations and functionality.
- Serves as a liaison with the ATS provider to facilitate any changes/modifications required to ensure accurate and efficient operation of the program.
- Creates and maintains onboarding modules.
- Cofacilitates NEST (New Employee Support Training) for the newly hired professional and classified staff.
- Identifies opportunities and develops efforts to foster employee engagement of new hires and current employees.
- Collects and reviews one month, three-month, six months, and one year check in surveys from newly hired employees. May collaborate with Employee Relations team regarding employee survey feedback. Provides feedback to the University's leadership on survey feedback and institutional improvement strategies.
- Assists the clerical staff responsible for producing contract letters by assigning the appropriate letters for appointments.
- Modifies letter templates as needed for special situations.
- Assists with developing the University's Affirmative Action Program by maintaining classified search records. May assist with constructing self-audit systems to ensure that programs and processes are in compliance with regulatory standards.
- Engages in appropriate professional development programs to remain current in the field and to be able to accurately advise employees.
- Provides reporting on key sourcing and recruiting metrics by collecting, analyzing, and summarizing data and trends for continuous improvement.
REQUIREMENTS
Minimum Qualifications:
- Bachelor's degree by time of appointment from a college or university accredited by a U.S. Department of Education or internationally recognized accrediting organization
- Minimum of two years of recruitment experience
- Proficient in utilizing a variety of technological tools and software applications
- Strong problem-solving skills to easily identify a problem, research, and implement solutions in an efficient manner
- Ability to convey information and training through various channels and presentation methods
- Excellent customer service skills with an emphasis on discretion and confidentiality
- Ability to work at a high level of attention to detail while maintaining accuracy
- Experience with NYS Civil Service rules, laws, and procedures or human resources experience in the public sector and/or higher education
ADDITIONAL INFORMATION
Work Schedule:
37.5 hours/week: Monday-Friday, 8 am-4 pm.
