SUMMARY

This position is currently being searched on a temporary-to-permanent basis, pending final approval from the Governor's Office. Permanent appointment is contingent on their approval.

Reporting to the Chief Diversity Officer (CDO), the Administrative Assistant to the CDO is the first point of contact for the OEDI. They provide support to the CDO in the day-to-day operations of the Office of Equity, Diversity, and Inclusion. This includes, providing general office duties, managing the CDO's calendar, travel arrangements, budget oversight administrative support for the Graduate Diversity Fellows Program, Bias Incident Reporting process, name change process, and event logistics. Administrative support for OEDI Committees (BRCT, EDI Strategic Plan and Campus Climate Survey) and OEDI communications across the University. The ideal candidate must be committed to and value the university's Strategic Plan " Building a Better Brockport" and EDI Strategic Plan.

JOB FUNCTIONS

Essential Functions:

  • Manage the CDO's calendar and travel arrangements.
  • Processes all purchase requisitions, journal transfers for all 4 of OEDI budgets, reconcile expenditures against budget allocation in Business Intelligence, manages department P-Card, reconcile expenses for 3 affinity groups, the committee on accessibility, PED Grant and request for funds.
  • Assist with the Bias Incident Reporting process, including supporting the Bias Response Coordinating Team, running data reports from the Maxient system, manage and update the Bias Incident Dashboard.
  • Manage the Preferred Name and Gender Change Process (registrar's office).
  • Manage updates the OEDI webpage and maintain the OEDI online events calendar.
  • Event management (logistics, room reservations, catering, parking, registration, etc.)
  • Prepares the dissemination of the OEDI newsletter and messages from the OEDI and/or CDO.
  • Serves as administrative support (note taking, scheduling meetings) for OEDI led committees (Annual Diversity Conference, EDI Strategic Plan and Campus Climate Survey).
Non-Essential Functions:
  • Provides clerical support for the CDO and OEDI
  • Orders office supplies/equipment as needed.
  • Answers phones





REQUIREMENTS


Minimum Qualification
  • Bachelor's degree in a related field by time of appointment from a college or university accredited by the U.S. Department of Education or an internationally recognized college or university.
  • Excellent problem solving and communication skills.
  • Accuracy and attention to details.
  • Able to work independently and collaboratively.
  • Budget management.
  • Handle and maintain highly confidential information

Preferred Qualifications
  • Experience with Maxient Systems

Work Schedule:

37.5 hours/week: Monday - Friday 8am - 4pm
