SUMMARY

Drake Memorial Library is seeking a Library Assistant 1 to work in interlibrary loan. The Library Assistant 1 will work with colleagues to process interlibrary loan and document delivery transactions using the ILLiad and Alma systems. Processing transactions may involve locating physical items in the library catalog and on shelves, scanning resources, accessing content in research databases, and shipping and receiving physical and electronic items. They will also provide excellent customer service and resolve problems for library patrons and other libraries via email, phone, and in-person interactions. The Library Assistant 1 will work with colleagues to hire, train, schedule, and supervise the student workers in interlibrary loan. They will also be responsible for uploading documents to the University's institutional repository and adding descriptive metadata.

The Library Assistant 1 will support a collegial and inclusive work environment in order to promote the success of all Brockport students, faculty, and staff.

Hours may vary during university breaks.

JOB FUNCTIONS

Essential Functions:

  • Complete tasks related to interlibrary loan requests
    1. Process interlibrary loan requests using Alma and ILLiad
    2. Locate requested items in the library catalog, library databases, and on shelves
    3. Use scanners and other software to scan accessible documents for patrons
    4. Send and receive electronic and physical materials using shipping services and electronic delivery systems
    5. Communicate with borrowing and lending libraries
    6. Assist library patrons as needed via phone, email, or in-person
    7. Maintain accurate records by searching for missing and lost items
    8. Record data for reports requested by the library, university, and other organizations
  • Upload documents to the University's institutional repository
  • In collaboration with other library staff, supervise, hire, schedule, and train interlibrary loan student employees
Non-Essential Functions:
  • Collaborate with library team on library projects and committees
  • Create and update documentation related to job duties


REQUIREMENTS

Minimum Qualifications:

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title maybe filled via a noncompetitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):

Either graduated from high school or have earned a high school equivalency diploma;
AND
one year of full-time clerical experience in a library setting.*
*Examples of qualifying clerical duties in a library setting may include:
  • Maintaining circulation record;
  • Processing acquisitions including the receipt and recording of courier-delivered materials and organizing new items;
  • Creating and processing interlibrary loan requests (ILL);
  • Assisting in collection maintenance including; weeding, shifting, re-shelving, repairing, straightening, inventory, supply orders, and emptying book drop containers to be checked in;
  • Assisting and educating patrons in searching the library catalog;
  • Assisting patrons in the use of library equipment.
Or thirty semester credit hours of college study including at least NINE semester credit hours of college study in any combination of the following areas:
  • Library/Information Science;
  • Computer Applications
  • Information Studies.


COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):
Candidates must have permanent appointment in a Library Assistant 1 NY State classified position, or be in a transferrable title, or be reachable for appointment on the current NY State Civil Service eligible list for Library Assistant 1 Full-Time, Brockport location.
Preferred Qualifications:
  • Previous experience working in a library
  • Ability to work independently and collaboratively
  • Good attention to detail

Work Schedule:

37.5 hours/week: Monday - Friday 8:00am - 4:00pm
