Accountabilities:
  • General responsibilities include managing the administration of academic scholars programs in coordination with the program faculty directors, including the Alumni Memorial Scholars (AMS), the Benton Scholars, the Sophomore Residential Seminars (SRS), the Office of Undergraduate Studies (OUS), and the Lampert Institute.
  • Engage in student development, mentoring and program design based on best practices, in collaboration with faculty program directors
  • Responsible for all aspects of planning and execution of events and functions - may also be required to attend or lead some events.
  • Assist with program assessments as needed, including design, implementation and analysis of assessment tools
  • Serve as point of first contact for student scholars in the programs and help address their needs.
  • Responsible for managing student group travel as related to the program
  • Responsible for assisting with external speakers including flights, accommodation, and payment
  • Responsible for program communication including website maintenance, newsletters, posters, invitations, social media, etc.
  • Coordinate work and/or schedules of student or casual wage employees, as assigned, including processing web time entry.
  • Manage financial aspects of programs, including expense management and monitoring budgets
  • Responsible for administering student grants, including disbursement of funds, tracking expenses, and discussing spending guidelines with students.
  • Maintain program records, research information, analyze data, prepare reports, edit and format documents and presentations, and produce standard reports.
  • May be responsible for the timely and efficient execution of special projects, additional activities, committees and other work unique to the programs, as assigned.


Professional Experience/Qualifications
  • A minimum of one year of administrative support or related experience in a student or professional workforce role
  • Self-starter with capacity to work independently or as part of a team
  • Proven ability to organize and coordinate multiple projects, tasks and priorities simultaneously
  • A service-oriented mindset to include a positive attitude, follow through, and problem-solving
  • Enthusiasm for learning new skills and taking on new assignments and challenges
  • Superb verbal and written communication skills and a high regard for detail
  • Proficiency with office productivity tools, such as Google Workspace (especially Google Docs, Google Sheets, and Google Calendar) and/or Microsoft Office applications (Word and Excel)
  • Discretion to manage confidential and sensitive information
  • Ability to interact in a collegial manner with a culturally diverse group of faculty, staff, and students

Preferred Qualifications
Experience in student development or mentoring highly preferred.
Experience with travel and event logistics

Education
A minimum of a Bachelors degree is required, or a combination of education and experience from which comparable skills have been attained.
