Job Description:

Amherst College invites applications for the Assistant Director of Operations position. The Assistant Director of Operations position is a full-time, year-round position, starting at $61,545 - commensurate with experience. Given Amherst's distinction as one of the most diverse liberal arts colleges in the country, the successful candidate will demonstrate the ways in which they bring value to and will work towards supporting a broadly diverse community.

Reporting t o the Director of Housing & Operations, and as a member of the Office of Community Living team, the Assistant Director focuses on the logistical and operational elements of a residential campus. The Assistant Director is the lead for move-in and move-out processes, residential inventory, storage, key management, and various residential logistics. The Assistant Director is responsible for developing systems and practices that are transparent to our highly diverse community of students while providing entry points to accountability and development. All members of the Office of Community Living must share a commitment to centering the diverse intersectional identities and experiences of the student body. The Assistant Director of Operations has complementary functionality with the Assistant Director of Housing, allowing for cross-training and substantial support throughout the academic year.

The Assistant Director works collaboratively and liaises with the Campus Facilities and Operations teams to maintain the daily operations of our 34 residence halls. The Assistant Director contributes to the creation and maintenance of protocols for coordinating residence hall repairs, coordinating move-in and move out as well as organizing and implementing Transitional and Summer housing. Additionally, the Assistant Director is responsible for creating, reporting, and preserving the quality of data related to occupancy, and throughput of students, and ensuring the implementation of their registered accommodations whenever possible.

The Assistant Director assesses student housing trends and benchmarks information against peer institutions, and maintains reports on occupancy and housing capacity to provide advice on current enrollment projections.

Summary of Responsibilities

Operations


  • Coordinate move-in and move-out procedures for Fall and Spring terms, including the celebratory New Student move-in.

  • Oversee transition periods between formal semesters and proactively support the needs of underrepresented students.

  • Coordinate early-arrival and late-stay housing processes.

  • Design and facilitate room condition reporting systems and subsequent damage charges and billing processes.

  • Coordinate bedroom inventories, common area inventories and partner with Design & Construction and Residential Engagement and Wellbeing on rotating furniture replacement/capital improvements/renewal.

  • Design and coordinate Health & Safety Checks in partnership with Community Living and Environmental Health and Safety at regular intervals.

  • Design and improve new and existing processes and systems with attention to centering students intersecting identities and diverse needs.

  • Oversee the production of all office forms and marketing information.

  • Supervise student staff in their roles around housing, storage, move-in/out procedures, room change tracking, and Community Living Window services.

  • Coordinate limited on-campus student storage program.

  • Coordinate partnerships with off-campus storage vendors for including student subsidy coordination, and the scheduling and communication during openings and closings.

  • Oversee full residential key inventory, including processing lost keys.

  • Oversee temporary proximity card issuance and return.

  • Coordinate Off Campus Housing processes including reviewing applications and collecting lease verifications.




Housing


  • Facilitate Transitional housing during Commencement and Reunion periods in concert with Summer Conferences, Custodial and Facilities teams.

  • Effectively communicate across a highly diverse community.

  • Facilitate the room change process throughout the Spring semester.

  • Maintain working knowledge of all housing-related technology including the electronic housing portal, StarRez, including training and reporting, as well the related website contents. This includes data integration with Workday and CSGold.

  • Collaborate with the Director to manage housing overflow and room configurations in order to maximize occupancy as needed.

  • Ensure consistent and accurate data integrity in StarRez related to housing inventory and student assignments and regularly share rosters with appropriate campus partners.




Student Affairs Generalist


  • Serve on the Student Affairs second tier administrator on call rotation.

  • Submit annual reports to the director each year outlining goals, progress, assessment, and developing opportunities.

  • Participate in a wide range of discussions regarding strategic planning for the department and Student Affairs.

  • Serve on campus-wide committees as deemed necessary by the Director.




Qualifications

Required:


  • Master's degree in Business, Higher Education, Student Development, Student Personnel, or a related field.

  • 2-3 years of experience in college residential living environments

  • Strong written and verbal communication, interpersonal, time management and organizational skills

  • Working knowledge of student development theory

  • Demonstrated experience in conflict resolution and learning outcomes

  • Prior experience with computer software including Microsoft Excel, and Google Workspace.

  • Demonstrated experience with data management, reconciliation, and security

  • Commitment to and demonstrated experience working with a diverse community




Preferred:


  • 2-3 years previous experience working with StarRez or similar housing management systems
