Position Description
Performs support and coordinative work in direct support of an administrative team of a specific administrative office or department. Coordinates and assists with functions such as planning, researching, budgeting and program implementation and evaluation. Performs responsible and complex office support duties, thus relieving the administrator of these duties. Work is performed under administrative supervision.

Major/Essential Functions
  • Perform administrative and office support duties for two supervisors: Associate Academic Dean and the Unit Manager Office of Graduate and Postdoctoral Fellowships.
  • Assist with internal/external fellowship awarding processes and track scholarship/fellowship/award data and student requirements.
  • Compile and provide colleges with graduate student funding reports provided by the Graduate School.
  • Assist with identification of alumni/potential donors and assist with donor/alumni-related events.
  • Assist Graduate Enrollment Services with data verification and reporting of student records.
  • Coordinate meetings, special projects, and initiatives with the Graduate School Dean's Advisory Council.
  • Work with the Office of Institutional Research for the Alumni Survey and the Exit Survey.
  • Assist Graduate School administrators with the planning and facilitation of official Graduate School functions.
  • Coordinate events related to professional development with internal and external constituencies.


Required Qualifications
Bachelor's degree in job related field plus one year responsible experience. Additional specific job related experience may substitute for required education on a year for year basis.

Preferred Qualifications
  • Two years of experience in planning, developing, or implementing programs or research grants.
  • Proficient in MS Word, MS Excel, and MS Outlook.
  • Strong communication and interpersonal skills, both written and verbal.
  • Ability to work well with all levels of management and staff as well as faculty and students.
  • Sensitivity to confidential matters.
  • Organizational (both analytical and problem solving) and planning skills.
  • Detail oriented.
  • Excellent time management skills and ability to multi-task and prioritize work under pressure.
  • Customer service oriented.
  • Teamwork proficiency.
  • Adaptability.
